Here are answers to frequently asked questions about Summit 2018.
REGISTRATION AND GENERAL QUESTIONS
How can I save on Summit registration?
There are several ways to save on Summit registration. The first is to register before the early-bird discount deadline (July 16) and the advanced rate discount deadline (September 17). The second is to apply for one of six 2018 Summit Scholarships, available to practitioners of underrepresented groups, and for practitioners in small shops. Lastly, if you are not a current member, you can save on registering by joining AASP.
What's included with my Summit registration?
Your registration includes access to the vendor area featuring over 30 companies and the equivalent of two full days of educational programming. Breakfast is offered on Thursday and Friday, lunch on Thursday, and daily AM and PM breaks with beverages and snacks.
How do I register for a pre-conference session?
Registration is available for these sessions during the regular Summit registration. Once you have registered for Summit, you can add a pre-conference session to your registration here.
What forms of payment does the onsite registration desk accept?
Onsite we accept cash, check, MasterCard, Visa, and American Express. We highly recommend registering in advance, as onsite registrants are subject to a $25 onsite fee.
Can my spouse attend?
Spouse/guests are welcome to attend the President’s Reception but must be registered to do so. There is an optional ticket purchase for spouses/guests to defray the cost of food.
Can I purchase a one-day pass?
Yes, one-day rates are available for purchase on the registration page.
How can I cancel my registration?
Refunds, minus a $75 administrative fee, will be issued on written cancellations received on or before October 12, 2018. Phone cancellations WILL NOT be accepted. Registrants assume full responsibility for notification to and verification of receipt by AASP. Refunds will be processed 2-3 weeks after the meeting. Refunds or credits will not be given for failure to attend, late arrival, flight/transportation cancellations, unattended events or early departure. In the rare event of a meeting cancellation, AASP is not responsible for nor will provide refunds for costs associated with travel, airfare, hotel or transportation costs incurred by the registered attendee. It is always recommended that the registrant considering purchasing independent travel insurance.
What is the appropriate dress attire?
Dress for all functions is business casual. Remember that meeting rooms tend to be cool, so dress in layers.
Do you offer childcare at Summit?
We are not able to offer childcare for this event.
Will there be any form of accommodations for attendees that require accessibility?
We are pleased to make arrangements for attendees’ special needs. Please email firstname.lastname@example.org in advance of Summit.
Will there be a coat check onsite?
We offer coat racks outside the general session room near registration during registration hours. Items are left at the risk of the individual.
Does AASP have a code of conduct for its conferences?

HOTEL & TRAVEL
Which airport should I fly to?
Chicago has two major airports: O’Hare International Airport and Midway International Airport. Both are great options with easy access to downtown.
Taxi service is readily available at both Chicago’s O’Hare and Midway airports. Taxi cab fare is approximately $45 from O’Hare to downtown Chicago and $35 from Midway to downtown Chicago.
Additionally, attendees may choose to utilize Chicago’s public transit system which is well connected to downtown. We recommend utilizing GoogleMaps transit function to plan your trip.
Should I purchase travel insurance?
In the rare event of a meeting cancellation, AASP is not responsible for nor will provide refunds for costs associated with travel, airfare, hotel or transportation costs incurred by the registered attendee. It is always recommended that the registrant consider purchasing independent travel insurance.
What is the Summit hotel room rate?
AASP has arranged for a group rate of $229/night + tax. We recommend booking your hotel room as soon as you confirm your attendance. Rooms must be reserved by October 24, 2018 and cannot be guaranteed even before this date.
Will there be WI-FI at the conference?
Yes, WI-FI will be available in the meeting space. Guestrooms booked within the AASP official room block at The Hilton Chicago also include complimentary WI-FI.
PROGRAM AND EDUCATION
How can I obtain a copy of the presenter handouts/ slides?
If a presenter has chosen to share his/her slides, they will be made available in the Summit 2018 Mobile App.
How can I present at Summit?
The call for presentations is closed.
When will the mobile app be available?
The Summit Mobile App is a great tool to plan your schedule, view presenter handouts, rate sessions, and interact with other attendees. The app will be available for download in October.
